Folder Sharing

Folder Sharing Window

The Folder Sharing Feature allows you to:

  1. Grant and remove folder sharing rights of documents and pictures to any user.
  2. Use the Track Changes Feature {  } to indicate who changed what in a document and when.
  3. View and remove folder sharing rights granted to you by another user.

Note: To share a document, design the document in a folder and place the pictures for that doucment in a folder.  Then be sure to share both folders.

 

Two Ways to Access Folder Sharing:

1. Share Folder Button

Click on the folder in the documents or the Pictures & Backgrounds pane, then click the Share Folder Button.

 

2.  Folder Icons in the Documents or Pictures & Backgrounds Pane

Click the folder icon next to the desired folder.  The folder may be shared by someone else to you, shared by you to others, or not shared.

In the example shown, Frank has granted sharing rights of his Orders folder to Lisa and George.  He may grant rights to others by entering their user name and clicking the Share Folder button.

At the top of the window, the status indicates that Frank owns the folder.  Frank may click the 'remove share' link to discontinue sharing with any user.

If the folder Frank selects is owned by another user, the Folder Sharing Window would indicate so.  You cannot grant rights to others in that case, but you may remove the folder from your list (unshare it).

 

Folder Sharing, Track Changes, and Simultaneous Editing

The Track Changes {  } and Simultaneous Edit feature work hand-in-hand with Folder Sharing.  Using the example above, suppose Frank and Lisa both edit the document 'Miteg_September.html' in the 'Orders' folder.  For each new document version Lisa or Frank saves, a new file is is added to the Track Changes list.  Thus all saved versions of the document are always retreivable.  If Frank wants to know what changes Lisa made to his document, he can compare his previous document with hers to see her changes.

If Frank tries to access the 'Miteg_September.html' when Lisa is editing, he'll told so.  He can watch the changes she's making and even phone her and collaborate on the editing changes.
